Freight Billing Specialist I
Job Summary

The Freight Billing Specialist I is experienced in ocean, and truck transport of shipments. Responsibilities to prepare billing invoices for services rendered or for delivery or shipment of goods.

Requirements
  • Set up new accounts for all terminals
  • Prepare and generate invoices from shipper’s bills of lading and review additional documents for accuracy.
  • Enter LAX westbound, LAX eastbound and OAK eastbound bills.
  • Provide additional billing/entering support to other terminals.
  • Resolve billing discrepancies by processing corrections in a timely manner.
  • Print and audit costing manifests and match up loading documents.
  • Post sailings as directed and print invoices after sailings.
  • Send out reporting via email when sailings have been closed.
  • Review the returned open invoice report and complete closing/posting as required.
  • Audit posted invoices for accuracy and prepare for mailing or emailing. Includes LAX and OAK westbound prepaid invoices and Eastbound collect invoices.
  • Research errors and document corrections in applicable systems.
  • Input rate letters with special rates to populate within company systems; archive and replace old rates with new rates in Navision.
  • Keep detailed notes on specific customer requests in relation to customized billing requirements.
  • Demonstrate professionalism on the phone, email and in the office.
  • Responds promptly and professionally to internal staff and customer needs/concerns in a quick and courteous manner and able to bring unresolved issues to management.
  • Work together as a team with all departments and offices.
  • Comply with all policies, procedures, safety rules and regulations.
  • Complete all other tasks, duties and errands as assigned.
Qualifications and Skills
  • Accurate typing and/or data entry skills and ability to use a 10-key
  • Basic proficiency in MS Office Suite
  • Basic Math Skills
  • Experience with Navision is a plus
  • Must be organized, detail-oriented, multi-task and work well under stressful situations.
  • Ocean freight/logistics experience preferred.
  • Maintains regular and predictable attendance required.
  • Work overtime as needed.
  • Excellent written and oral communications skills.
  • Must comply with the company’s drug and alcohol testing requirements.
Physical Requirements:

This position will require the ability to sit or stand for long periods. Use of computer, including a mouse, keyboard, monitor, printer, with or without reasonable accommodations.
